Office Admin

• Entry of Accounts Payable
• Entry of Accounts Receivable (possible split duty with other accounting staff)
• Credit card reconciliations
• Attending to walk-in clients and other visitors
• Answering and directing phone calls to appropriate personnel
• Entry of credit card receipts
• Filing and file maintenance for accounting, job, health & safety, and company policies
• Timesheet and vehicle inspection reminders weekly
• Accounts receivable collections activities and related management reporting
• Setup new employees for various electronic and manual documentation
• Assist with creation and amendments of new and current policies
• Assisting with creation and amendments of new and current policies
• Assisting Project Manager with filing of project Notices, monitoring and maintaining safety records on projects, etc.
• Requesting insurance certificates from insurance broker
• Maintaining and ordering office supplies/printer toner
• Office printer troubleshooting
• Weekly time entry synching into QuickBooks for field staff
• Processing and recording credit card payments from customers
• Receiving and distributing mail
• Assisting with month end and year end activities
• Organizing Christmas Party and other team building events
• Sending birthday cards to employees
• Assist with preparations for trade shows

Experience and Requirements:

• QuickBooks - 1 year (required)
• Bookkeeping - 1 year (required)
